Job Description: Facilities Manager, Cathedral Complex
Reporting to: The Parish Administrator
Place of Work: 61 York Place, Edinburgh
Hours: 35 hours per week
Purpose and Scope
To manage the Cathedral Complex in terms of reactive and planned building maintenance and ensuring health and safety requirements and legislation are adhered to and records kept.
The Cathedral Complex incorporates the Cathedral, the Café and Book Shop, the parish offices and the clergy accommodation at 61-63 York Place.

Line management and supervision of one member of staff (Part-time Sacristan/Janitor)

Key Responsibilities
Fabric
· Monitor and maintain buildings to ensure they are fit for purpose, including:
o To ensure that all buildings are wind and watertight
o To liaise with contractors to address faults, problems and breakdowns that arise e.g. if the heating breaks down, or if there is a leak, or the alarm is broken
o To obtain estimates from contractors for works arising
o In consultation with the Parish Administrator, to submit Project Applications to the Trustees of the Archdiocese when approval is necessary
o To supervise contractors and ensure work is carried out well and that all Health & Safety requirements are met
o To deliver recommendations on building works
· To organise and manage commercial contracts and ensure the buildings are run as efficiently as possible
· Create and implement a 5-year maintenance plan for planned work
· Liaise with third party Property Agents with regard to the management of two residential rental properties
within the Cathedral Complex
Health and Safety (H&S)
· Ensure that the Cathedral complies with Health and Safety legislation and remedial action is taken where appropriate
· To work with third party H&S consultant (Worknest) on audit and compliance matters and to implement their recommendations
· Ensure that all H&S mandatory testing is carried out and records kept
· Ensure that Emergency Evacuation procedures are designed and implemented in line with legislation
· Carry out necessary fire evacuation training as required with staff and volunteers
· In conjunction with the Cathedral Volunteer Coordinator, ensure that all volunteers complete the necessary H&S training relevant to their role and that records are kept of H&S training undertaken by volunteers, staff and clergy
Experience and Skills
· Buildings knowledge, especially of historic buildings and those open to the public
· Facilities management and maintenance experience
· Knowledge of Health and Safety legislation and record keeping
· Ability to communicate well to a variety of audiences
· Ability to build and maintain external and internal working relationships
· Ability to take ownership of issues - self-motivated, well organised, with ability to work under pressure and under own initiative while aware of sign-off procedures and budgets
· Ability to prioritise work
· Good IT skills – e.g. Excel, MS Project
· Good budget and Project Management skills
